Overview

Assist the General Manager and provides administrative support for the day-to-day operation of Pacific Place Shopping Center. The Administrative Assistant must exhibit and maintain a high level of efficiency and organization while creating a professional and cooperative environment.

Responsibilities

  • Accepts and screens telephone calls, responds to routine inquiries from vendors, merchants, and others
  • Completes a wide variety of word processing assignments often confidential
  • Collects information for and/or prepare a variety of on-going administrative reports
  • Establishes, maintains and revises record keeping and filing systems
  • Arranges meetings and conferences, schedules appointments
  • Collects and posts outgoing mail
  • Maintains computer files and keeps tenants contact list up to date
  • Prepares document request for renewals, assignments and amendments
  • Compare monthly pre-billing report to rent roll and identifies discrepancies
  • Sends monthly tenant statements
  • Prepares debit memos for late fees and prepares late fee letters and default notices to tenants
  • Makes account receivables calls
  • Codes invoices for manager approval
  • Maintains tenant insurance records. Review tenant insurance certificates for accuracy.

Qualifications

  • Ability to manage multiple tasks simultaneously
  • Excellent written, verbal and organizational skills

  • Ability to work in a fast paced environment

Education or Experience:

 

  • High School Diploma required


  • Bachelors degree preferred
  • 2+ years of experience as an administrative assistant preferably in a commercial or retail leasing environment
  • Experience in accounting systems such as Nexus, MRI, or equivalent and network based
  • accounts payable systems
  • A stable job history
