Assist the office staff and provides administrative support for the day-to-day operation of office. The administrative assistant must exhibit and maintain a high level of efficiency and organization while creating a professional and cooperative environment.


Major Duties and Responsibilities:

  • Accepts and screens telephone calls, responds to routine inquiries from vendors, merchants, and others
  • Completes a wide variety of word processing assignments often confidential
  • Collects information for and/or prepare a variety of on-going admin reports
  • Establishes, maintains and revises record keeping and filing systems
  • Arranges meetings and conferences, schedule interviews and appointments
  • Collects and post outgoing mail
  • Maintains computer files and keeps tenants contact list up to date
  • Sends monthly tenant invoices
  • Prepares debit memos for late fees and prepares late fee letters to tenants
  • Makes account receivables calls
  • Codes invoices for manager approval
  • Maintains tenant insurance records. Review tenant insurance certificates for accuracy.

Organizational Relationships: Interacts with leasing professionals, corporate management, property management, and occasionally outside clients.


 Skills Required:

  • Proficient in MS Word, Outlook and Excel.
  • Ability to manage multiple tasks simultaneously

  • High level of professionalism

Education and/or Experience:

  • High School Diploma required
  • Bachelors degree preferred
  • 2+ years of experience as an administrative assistant preferably in a commercial or retail leasing environment
  • Experience in accounts payable systems such as Nexus
  • A stable job history
